In order to store your email messages and other mailbox items in an Outlook data file MS Outlook is generally used. It is also known as Personal storage table. When it saves the emails it occupies some space and gradually the space occupied by the mails increases. But generally the size of MS outlook is limited. The problem arises when it becomes completely full and is unable to save any more emails in it. In such cases it is recommended to split the large PST files, and in this way you would be able to store data in it. Now the question arises is that how can the PST files be splitted? It can be done by following the steps mentioned below.
Method to split large PST files The Archiving process
It can be done through the process of archiving, for this you have to first prepare the Outlook and then you have to follow the steps to split your pst-files.
- You have to open the Archive dialog. If you are using Outlook 2007 or earlier then select file and then Archive. And if you are using Outlook 2010 and Outlook 2013 then select File then choose Cleanup Tools and then Archive.
- Then you have to select Archive this folder and all subfolders
- In order to select the entire mailbox you have to click on the top level folder rather than the folder that is currently selected.
- Then you have to set the Archive items older than the present date. Say for example to create first archive for 2011 or earlier, you have to set the date as 1st of January 2012.
- Then you have the check the option “Do not AutoArchive”.
- Then save the PST file for 2011 and earlier with the name and location as desired by the user on your computer. Say for example: E:\Document\Outlook Files\2011.pst
- And then click on OK.
After completing the archiving process you have to repeat the steps mentioned above, in this case you have to specify different data and different name in step 4 and in step 6 respectively.
